Annual Records Disposition Day!

The Records and Information Management Office would like to invite your department/unit to participate in Disposition Day on July 29, 2016.

Disposition Day is an annual event that encourages the safe and secure destruction of confidential university records, the transfer of historical records to the University Archives and promotes the UC Santa Cruz Records Management Program and policies. The event is featured in the March 2016 issue of the Sustainability News. See the above flyer for the 2015 participating offices and results.

  • RSVP to schedule your free pick up with our certified confidential shredding company. Email Evette Rose at evrose@ucsc.edu
  • Share the news! The Records and Information Management Office wants to help you purge!
  • Review and collect your inactive records for pick-up (confidential non-records, passed retention, and media such as CDs DVDs etc.) according to the UC Records Retention Schedule. Inactive records of historical note should be reviewed in consultation with the University Archivist for possible transfer to the University Archives. See http://guides.library.ucsc.edu/UARCtransfer or contact the University Archivist for guidance in assessing the historical value of your records.
  • For each paper record purged, the corresponding electronic record must be purged as well.
  • Never put confidential, personally identifiable information (PII), or information that could be inappropriately used in an open public recycle container. We are offering a free confidential pick up & shred service for 1 day only; July 29, 2016.
  • DO NOT destroy records that are under Public Records Requests, if pending or foreseeable litigation or investigation activity, or under audit.
  • Enjoy a more spacious and clutter free work area knowing that you have complied with the UC Records Retention Schedule.

Digital File Purge Event

  • Stop wading through non-records. Review and delete transient clutter. For more information about non-records see RMP-2 “. . . ; they should be disposed of once their period of immediate usefulness has passed. If non-records are not handled in accordance with their temporary nature, the unnecessary use of university resources may occur. If not disposed of, non-records may be subject to disclosure (e.g., under the California Public Records Act, Information Practices Act, or discovery of evidence in a legal proceeding).” (page 6)
  • Purge non and expired records from email in boxes & folders, personal server folders, department server folders, Google Drive, collaboration sites such as box, dropbox, SFTP sites, and other applications. For more information on best practices in email, see our brochure. 
  • Archive email records in long term storage outside of the email application, with a filing system that promotes good practices and easy disposition of records, and adherence to the UC Records Retention Schedule.
  • Recognize that electronic records (including email) should be treated with the same management practices as paper records (standards in naming, filing, and lifecycle management.) 
  • Create a filing system that promotes good practices and easy disposition of records.

  • Let us know how you did; how many years of email were you keeping? How much storage space did you recover? What part did you find especially difficult?
